Privacy Policy
Clankmaxx is a desktop app that answers through cloud AI models. This policy describes, in plain language, what the app stores, what it sends, and the switches you have over all of it. It mirrors the “What leaves this Mac” disclosure built into the app itself.
Stored only on your Mac
The following lives in your own library folder as plain, readable files, and never leaves the device on its own:
- Memories — the notes the app keeps about your classes, goals, projects, and preferences.
- Chat history — your conversations. The active session keeps the last 30 turns; daily archives are kept 30 days.
- Lecture and meeting notes — the documents produced from recordings you started.
- Activity awareness — a log of which app is frontmost, used for optional check-ins. Kept 14 days (at most 500 sessions), never uploaded, deletable in one click.
- Rules, settings, and sync state — your configuration and check-in rules.
Your Canvas access token and license key are stored in the macOS Keychain, not in files.
What leaves your Mac, and when
Clankmaxx works by sending conversation context to AI models through Clankmaxx's managed cloud. Concretely:
- When you chat: your message plus the context needed to answer it — which can include relevant memories, upcoming Canvas deadlines and calendar events (if you've connected them), and, if the accountability role is on, a summary of your current app activity.
- When you explicitly ask Clankmaxx to look at your screen (⌘⇧L or a chat request): one fresh screenshot of the active window, sent once to answer your question. It is never written to disk, never taken periodically, and never taken from password managers or apps on your excluded list. Every capture leaves a visible note in the chat.
- While you record lecture or meeting notes: the audio of the Zoom window or YouTube tab you selected, plus occasional frames, sent for processing into notes. The recording itself is never saved — audio and frames exist only long enough to be processed. Recording starts only from your tap on a consent prompt and shows a red indicator the entire time.
- Files you point Clankmaxx at: if you add an app-data source (a local folder) and ask about its contents, the relevant excerpts are sent to the model to answer. A built-in denylist (passwords, keys, cookies, and similar secrets) is never read.
Chat and capture requests are relayed by Clankmaxx's managed backend to the AI model providers it uses (currently Google and DeepInfra). AI provider API keys live only on that backend — never in the app.
What our backend stores
To run a paid subscription we keep a small amount of account data on our servers:
- License record — your license key, purchase email, Stripe customer and subscription IDs, and subscription status and period end. This is how the app knows your subscription is active.
- Activated devices — the Macs you've activated (up to 2 per license), so you can manage them.
- Usage metering — token counts per request (not message content), used to enforce the monthly usage allowance and notes-audio budget.
- Optional sync — if you turn on “keep my Macs in sync” (off by default), copies of the app's own state files are stored so your second Mac can pick them up. Sync blobs are capped in size and never include your license file.
Our servers do not store your chat messages, screenshots, or recordings.
Payments
Checkout and subscription billing are handled by Stripe. Your card details go to Stripe directly — we never see or store them. We receive your purchase email and subscription status so your license key can be issued and kept current. Stripe's own privacy policy applies to its processing.
Connected services
Canvas sync is read-only: courses, assignments with due dates, and current grades, fetched with a token you generate in your own Canvas account. Calendar and Reminders sync is likewise read-only, using macOS permissions you grant; creating events or reminders always requires your explicit confirmation first. What your school or Apple does with the underlying services is covered by their own policies.
What we don't do
- No advertising, and no sale or rental of your personal data.
- No third-party analytics or tracking on this website or in the app.
- No screenshots or recordings kept on our servers — or anywhere.
- No AI training on your content by us; requests go to model providers to produce your answer, not to build datasets.
Your controls
- Master pause — stop all check-ins and tracking, indefinitely or for an hour.
- Memory screen — view everything Clankmaxx remembers, correct any note, forget one item or everything, and export it all as plain text.
- Excluded apps — choose apps that screen capture will never touch (password managers are excluded by default).
- Delete activity history — one click, in Settings.
- Roles — turn off the accountability role and Clankmaxx stops watching app activity entirely.
- Deactivate — free a Mac from your license in Settings, and cancel your subscription anytime from your Stripe customer portal.
Changes to this policy
If this policy changes in a way that affects what leaves your Mac, the updated version will be posted here and noted in the app's release notes.
